Surgeries Coordinator

Farming Connect

 

Farming Connect is a high profile, integrated project which supplies focussed training, support and advice, delivered through a pan-Wales programme of knowledge transfer activities, specialist advice and support for innovation. A key objective is to increase the emphasis on business-focused behaviour, therefore improving profitability, competitiveness and environmental performance of farm, forestry and food businesses in Wales. 

 

Farming Connect is funded through the Rural Development Plan 2014 - 2020, which is funded by the European Agricultural Fund for Rural Development and the Welsh Government.

 

Aim of the Role

 
  • Support the Surgeries and Correspondence Officer to coordinate and organise a programme of high standard surgeries on a variety of topics.

  • Develop relationships with various speakers, consultants and Farming Connect Development Officers in order to attract individuals and businesses to take part and take advantage of Farming Connect surgeries provision.

  • Deal with enquiries by farmers and foresters who intend to attend a surgery.

  • Contribute to Menter a Busnes’ other activities and general objectives.

 
 

Main Responsibilities

 

Surgeries

  • Coordinating a programme of high standard surgeries / campaigns on a variety of topics jointly with the Surgeries and Correspondence Officer

  • Responsible for the day to day organisation and management of the surgeries to ensure that they are efficiently run and providing value for the customer

  • Organise locations, speakers and a schedule of appointments jointly with the Surgeries and Correspondence Officer and local Development Officers

  • Maintain regular contact with the local Development Officer to ensure the success of surgeries and to confirm attendance in each surgery where possible

  • Ensure that relevant advisors are organised by topic jointly with the Surgeries and Correspondence Officer

  • Ensure that when organising surgeries that each surgery is kept within the surgery budget

  • Work closely with the Marketing and Communication team to ensure surgeries are sufficiently promoted to ensure a full schedule of appointments

  • Ensure that all surgeries are included timely on the CMS

  • Ensure that all details are inputted into the CMS correctly to enable the correspondence team to prepare accurate invitations

  • Ensure that the surgeries details are included on the website

  • Identify any further marketing needs and discuss with the Surgeries and Correspondence Officer

  • Deal with pre-surgery enquiries and identify customer needs to ensure that they are registered on a surgery that will answer their requirements

  • Re-arrange or adapt surgeries when needed e.g. if there is lack of interest/attendees

  • Ensure all necessary paperwork is completed and meets the project and Welsh Governments’ requirements.

  • Attend surgeries as and when needed and record customer attendance

  • Ensure that surgery attendees are being recorded correctly by presenting attendee databases timely to the Service Centre and input into BAS

  • Communicate with relevant external agencies and build relationships with key partners

  • Provide reliable and efficient office assistance and support

  • Ensure that systems/databases are being sustained and that they are current and efficient e.g. database of suitable locations

  • Monitoring numbers that attends surgeries weekly and report back to the Surgeries and Correspondence Officer

  • Check all surgeries feedback from attendees and assist the Service Centre to input the feedback in order to report back to Welsh Government

  • Analyse, coordinate and summarise information about the surgeries by evaluating outputs against targets and provide the relevant information as and when needed to the Surgeries and Correspondence Officer

  • Contribute correctly and timely to monthly reports for the Surgeries and Correspondence Officer in order to monitor surgeries targets

  • Assisting the marketing team as and when needed

 

 

Other

  • Ensure standards for quality, customer service, equality and diversity, health and safety and biosecurity are met

  • Accept other reasonable duties and responsibilities as required

  • Represent Menter a Busnes as required

 
 

Skills and Experience

Essential

  • Educated to NVQ level 3 or higher, and/or demonstrable experience in a relevant field

  • Experience of organising high profile local and national events

  • Excellent co-ordinating and organising skills

  • Excellent administrative skills and interpersonal skills

  • The ability to assess and deal with enquiries quickly and timely

  • Excellent oral and written bilingual (Welsh/English) communication skills

  • Excellent customer service skills

  • Good understanding or experience of the agricultural and forestry sectors in Wales

  • The ability to input date correctly and keep data in compliance with relevant data protection laws

  • The ability to motivate themselves to work by accepting the responsibility to set and revise their objectives and their own work, by taking the customers’ needs to consideration

  • Proactive and enthusiastic about the work of the Rural Department

  • The ability to be proactive and to drive things forward efficiently

  • The ability to carry on with own work as well as being a part of a team

  • IT skills including Word, Excel, PowerPoint, databases, email and the internet

  • A full and clean driving licence to use and access to a car

  • Available to work evenings when needed

 

Desirable

  • Knowledge of the Farming Connect programme
