Marketing and Events Team Leader

Background

 

This is an excellent opportunity to work on a project within the thriving food and drink sector in Wales which is essential to the growth of the economy in Wales.


As a result of an increase in demand for the project’s support, Cywain is looking for a Marketing and Events Team Leader to work across Wales.

 

Cywain, delivered by Menter a Busnes, is a model providing targeted support to micro businesses and SME’s operating in the Welsh food and drink sector. We have received funding through the Welsh Government Rural Communities - Rural Development Programme 2014 – 2020. Funding has been secured for the project until October 2022.

 

The service supports businesses to increase their capacity and capability, facilitate knowledge transfer and industry intelligence as well as strengthening supply chain integration. Delivery is pan Wales with an emphasis on collaboration through clustering, adding value, market development for growth and job creation. Cywain has developed a wide network of stakeholders and integral to the client development is a coherent approach with other delivery partners.

 

There are three strands to the project:

 

  • Support for start-up and micro businesses

  • Diagnostic support available to all businesses

  • Clustering and collaboration between businesses to promote business growth and efficiency

 

A cluster is essentially business led where a group of firms operating in the same sector and in a close geographical proximity identify common issues and opportunities. The focus is on increasing the competitiveness of Welsh food and drink companies to help them develop and grow, and members of a cluster group will come together to collaborate on a specific project. The projects they work on are varied from addressing existing business issues affecting competitiveness or growth, to accessing new markets and growing existing markets.   The clustering methodology has been used by Menter a Busnes since 2015 as a pilot scheme in partnership with Welsh Government Food Division. We are currently supporting the Fine Foods Cluster and the Seafood Cluster.

 

 

Aim

 

We are looking for a Team Leader to lead a team of central officers providing administrative, finance, marketing and design support for Cywain team members operating across Wales. As well as supporting the team, the post holder will be expected to support the Project Manager to ensure that the aims and objectives of the project are met. We are looking for proactive leaders, with the ability to motivate and solve problems as well as provide leadership in day to day matters relating to developments within the project and the service delivery.

 

The post holder will also provide guidance for the Cywain Marketing Officer in order to develop and implement an integrated marketing and communications strategy, including preparing and delivering a dynamic and effective marketing and communication plan designed to improve the general customer experience within the programme. A key focus will be supporting and guiding all internal staff and external partners, enabling them to undertake effective marketing activities and ensure that the Cywain brand is consistently delivered and communicated.

 

The post holder will also be expected to undertake Senior Events Coordinator duties, collaborating with officers within the team to plan and arrange high profile events to promote the food and drink sector in Wales and further afield. The post holder will be expected to:

 
  • plan and create events ensuring that the content and format attract the attention of the target audience of the project; 

  • supervise the arrangements for all events, monitor and evaluate their success and provide recommendations regarding any improvements and take these forward;

  • work closely with the Marketing Officer to maximise promotional opportunities;

  • deliver strategic plans for events every financial year, ensuring the best use of project resources including staff expertise and value for money.

 

 

Main Responsibilities

 

Team Leadership

  • Support the Project Manager and undertake project management duties in his/her absence, including ensuring the smooth running of the company’s people management and development processes and methods

  • Arrange, manage, motivate and support cluster team staff in order to provide effective, efficient and professional services of the highest possible standards to member groups/organisations, in line with the company’s policies and procedures and the needs of the funding body of the project

  • Encourage members of the team, including communicating specific targets and tasks to be completed in a clear manner and identifying areas for training and development

  • Ensure that staff performance is managed in a timely and consistent manner, including communicating deadlines for specific targets and setting targets for team members, with a clear focus on quality

  • Maintain open communication channels with the team, including holding regular team meetings to update members on best practice and performance expectations, and sharing information on the team’s performance against quantitative and qualitative targets 

  • Ensure that the service provided is of a high standard and deal with any matters that arise with clients in a timely and effective manner

 

Marketing and Co-ordinating Events

  • Ensure that the programme’s marketing and communication targets are achieved and that the service provided is of the highest standard

  • Ensure that Welsh Government policies are incorporated in the delivery of the marketing and communication plan

  • Implement an integrated and effective marketing and communications strategy that includes innovative activities in the media, on-line and during pan-Wales events

  • Manage the marketing and communication budget, ensuring value for money

  • Ensure the provision of events for a range of micro businesses and SMEs including individuals who are considering starting a business from scratch

  • Foster a close relationship with project staff and beneficiaries e.g. Welsh Government to identify business needs and create an appropriate plan of events

  • Work with groups of producers, and individuals, to identify the kind of events that would be beneficial to their business

  • Recruit groups and individuals across the supply chain to participate in the project, focussing on growth potential and creating collaborative projects

  • Create links with individuals, businesses and other bodies involved in innovation, product development and developing new markets in order to hold collaborative events and to facilitate promotional events to ensure good attendance

  • Work closely with the Project Manager and the rest of the team to plan, manage and implement a portfolio of events/exhibitions ensuring relevant and engaging content

  • Continue to develop knowledge and an understanding of other areas of expertise, ensuring that a holistic service is provided to the customer; with a commitment to undertake any necessary research, learning and development to meet these needs

  • Prepare briefs and purchase additional resources within the company’s procurement policy, ensuring value for money, e.g. technical services, sound, simultaneous translation and related equipment

  • Plan and delegate tasks in a timely manner, ensuring that the team has the appropriate resources available to complete them 

  • Provide clear instructions, both verbally and in writing, for project staff and any individuals / businesses participating in events

  • In conjunction with the Marketing Officer, ensure that any arrangements for promoting events have been planned and completed in a timely manner. This includes public relations, social media, the web and e-mail.

 

Monitoring and Evaluation

  • Assess, measure and evaluate the programme’s marketing and communication activities continuously, ensuring that reports are created and disseminated to relevant stakeholders

  • Accurately monitor, review and report on marketing and communication outcomes, expenditure and performance to the Project Manager in line with Welsh Government contract requirements, including creating and maintaining effective management systems in order to satisfy relevant Audit requirements

  • Ensure that accurate and relevant reports are provided at the end of all events and that outcomes are correctly monitored, are reviewed and reported to the Project Manager in line with contract requirements

  • Keep detailed records of all activities and paperwork in order to monitor and achieve project targets in line with the monitoring and reporting systems of Welsh Government and the project

  • Take responsibility for ensuring that all documentation for work completed in the region is up to date and has been completed in line with scheme requirements.

  • Produce reports on a quarterly showing the strengths and weaknesses of the activity/events held

  • Assess event organisation processes as required in response to feedback received from businesses and partners

 

Other

  • Ensure that quality, customer service, equality and diversity, health and safety and biosecurity standards for are met

  • Accept other duties and responsibilities, and offer input into related food assignments completed by Menter a Busnes as required

  • Represent Menter a Busnes as required

 
 

Skills and Experience

Essential

  • Educated to degree level or equivalent in business, economics, agriculture, food, land-based, or relevant subject

  • Thorough understanding of the agri-food and land-based sectors in Wales, with the ability to identify the latest research and information relevant to the sector(s).

  • Broad understanding of policy development, as well as Welsh Government strategies and policies

  • Good understanding and/or demonstrable experience of working with primary food producers and the private sector

  • Experience of managing people and following HR processes and policies, as well as motivating and empowering the team

  • Ability to build and manage a team of people in an environment where quality, achieving targets and customer care are a priority 

  • Demonstrable experience of running marketing and communications campaigns

  • Demonstrable experience of arranging events and managing promotional campaigns, including complex events with a number of beneficiaries 

  • Ability to evaluate and use evidence in a practical and clear manner which is relevant to the audience and to think creatively, expressing the benefits, pitfalls and risks of different options

  • Ability to assess and gain a clear understanding of client needs, and support them in line with their individual needs

  • Marketing and communications experience on a number of platforms, including experience of running social media/digital campaigns as well as traditional media such as print

  • Skills and experience of developing excellent networks at various levels (e.g. formal and informal contacts) from potential beneficiaries to professionals within partner organisations

  • Excellent organisation and coordination skills, with experience of arranging exhibitions and events

  • Able to develop and integrate new services in an effective and timely manner

  • Excellent presentation and interpersonal skills, with the ability to make and communicate difficult decisions in an impartial manner 

  • A proactive self-motivator, accepting responsibility for setting and reviewing priorities for achieving targets, with a clear focus on quality, with a clear focus on quality, whilst giving consideration to the needs of the team and the customer

  • Awareness of food safety standards and regulatory requirements within the industry

  • Excellent bilingual communication skills (Welsh/English) both verbal and written

  • High level IT skills including Microsoft packages, databases and the web

  • Full driving license and the use of a car (the role could mean travelling across Wales)

  • Available to work evenings and weekends occasionally

 

Desirable 

  • Background and/or experience in a field relating to the agri-food or land-based sectors

  • Management and/or marketing qualification

  • Experience of administering CRM systems such as Salesforce

  • Experience of administering website content management systems such as Wordpress

  • Project management experience
