Support Officer (part-time)

Background

 

The purpose of the project is to support small food, drink and land based producers in the counties of Bridgend, Caerphilly, Blaenau Gwent, Merthyr Tydfil, Rhondda Cynon Taff, Monmouthshire, Newport, Neath Port Talbot, Powys, Torfaen and the Vale of Glamorgan to work together and develop collaborative projects.

 

The project will be a catalyst to increase the participation of producers and encourage them to take part in project activities, where they would be supported to form collaborative clusters to create specific projects that will provide further business opportunities. Businesses are supported to develop their capacity, facilitate the transfer of knowledge and industry intelligence as well as reinforce integration within the supply chain. The emphasis will be on collaboration, adding value and developing projects.

 

The scheme is funded through the Welsh Government's Rural Communities - the 2014-2020 Rural Development Programme, and the lead body is Bridgend County Borough Council.

 
 

Aim of the Role

 

The aim of this role is to provide administrative support for the projects:

 

  • Coordinate and provide support to the project team, which will include providing information, carrying out and recording activities.

  • To be responsible for providing project information, such as output data, both internally and to partners and external stakeholders.

  • To ensure that all project documentation is correct and archived.

  • To maintain and develop the scheme’s administration systems.

  • Provide support to the Marketing and Research Officer, which will include collatin information, undertaking and recording project marketing activities

  • Provide support with organising events and workshops 

  • Be proactive and work independently without supervision

 

 

Main Responsibilities

 

  • Provide administrative support to the project team

  • Organise and take minutes at meetings (internal and external)

  • Work closely with the project team in the preparation and organisation of workshops and events

  • Travel to locations across Wales to attend events, workshops and product launches, etc

  • Ensure that activities and events are of a high standard, run smoothly and provide value to customers and guests

  • Ensure that the events run smoothly and provide value to customers and delegates

  • Communicate with the relevant external agencies

  • Coordinate and summarise the team members’ monthly activities in order to produce monthly and quarterly reports (quantitative and qualitative).

  • Collate, present and store all required information in accordance with the scheme’s funding and monitoring requirements.

  • Ensure that all the team’s files include the required information and support the Project Manager to undertake a regular audit.

  • Develop and manage a client database and systems for collating project information and outputs.

  • Record team targets and verify then against endorsement documentation.

  • Ensure compliance with the appropriate data protection legislation.

  • Deal with on-line and telephone enquiries and pass them to the appropriate officers

  • Maintain records efficiently in an agreed framework to satisfy Bridgend County Borough Council, Welsh Government/ European funding requirements and validity of outputs

  • Attend meetings and represent the project as required.

 

Research and Monitoring  

  • Support the Project Manager to record, collect and analyse client feedback

  • Input data accurately

  • Analyse the project’s attainment of its targets by ensuring that data is current

  • Support the Project Manager by attending meetings with clients as required to collect any relevant paperwork and monitoring data

  • Ensure that the project’s databases and systems are maintained and are current and efficient

  • Contact clients, external providers and partners to coordinate activities / events.

 

Other

  • Ensure standards for quality, customer service, equality and diversity, health and safety and biosecurity are met

  • Accept other reasonable duties and responsibilities as required

  • Represent Menter a Busnes as required

 
 

Skills and Experience

 

Essential

  • Educated to NVQ level 3 or higher, and/or 2 years’ experience in a relevant field

  • Excellent organisation and co-ordination skills and able to work to tight deadlines

  • Excellent administrative interpersonal skills

  • High standard of verbal communication skills

  • Accurate bilingual (Welsh/English) written communication skills

  • Good proof reading skills

  • Able to assess and deal with enquiries promptly and professional

  • Enthusiastic about the work of the department

  • Able to take clear, concise and correct minutes at meetings

  • Self-motivator, who takes responsibility for applying and revising priorities to complete targets, with a clear focus on quality

  • Able to be proactive and to drive things forward efficiently

  • Able to carry on with own work as well as being a part of a team

  • IT skills including Word, Excel, PowerPoint, Databases, Email and the Internet

  • Full driving licence and the use of a car

 

Desirable

  • A good understanding or experience of agriculture, food or land based sectors in Wales

  • Marketing and events management experience

  • Demonstrable experience of working in the agriculture and/or food industry in Wales
